Prerequisites
To use the QuickBooks Online app on Zapier, you must have:
- A paid QuickBooks Online subscription.
- Admin permissions in your QuickBooks Online account.
- A paid Zapier plan. QuickBooks Online is a premium app on Zapier.
Connect QuickBooks Online to Zapier
To create an app connection to QuickBooks Online on Zapier:
- Go to the Apps page.
- Click + Add connection.
- A new dialog box will appear. Search for and select QuickBooks Online.
- Click Add connection.
- A new browser tab or window will open.
- Log into QuickBooks Online to authenticate.
- Grant Zapier permission to access your account if prompted to.
Your QuickBooks Online account is now successfully connected to Zapier.

Limitations
- API rate limits apply. QuickBooks Online enforces strict rate limits of 500 requests per minute per realm ID, 10 concurrent requests per second per realm ID and app, and 40 batch requests per minute per realm ID.
- Custom fields restrictions apply. Only the first three string-based custom fields are included in API responses, and number-type custom fields will not appear in the API response, limiting Zapier's ability to access all custom fields.
- Customer, employee, or vendor Display Names must be unique, causing errors when attempting to create records with existing Display Names.
- SKU fields are not available on Create Invoice actions as they are automatically populated from the selected product/service.
